The Accounts Payable Specialist will be responsible for managing the accounts payable process, completing payments and controlling expenses by receiving, processing, verifying, and reconciling invoices. This position reports to The Executive Director, Accounting and External Reporting.


  • Responsible for the data entry and posting of all payables and adjustments in accounting systems
  • Process between 100-150 invoices per week and ensure accuracy within account coding transactions, project coding, department allocation, and posting dates
  • Responsible for the full payment process; preparing and reviewing the weekly payment reports
  • Responsible for the month end close of accounts payable and assisting with identifying month end accruals
  • Resolve any account discrepancies through investigation of supporting documentation and direct communication with internal and external contacts
  • Responsible for the retrieval, organization, and maintenance of W9 forms for all vendors to ensure compliance with 1099 reporting
  • Identify when tax exemption is applicable to the Company and maintain up to date tax exemption forms
  • Assigning prepaids with the appropriate amortization schedule in the accounting system
  • Provide support and guidance to the independent public accountants in connection with the year-end and SOX audits as it relates to accounts payable
  • Administer support to other team members, managers and departments with information required by them to carry out their assigned responsibilities
  • Support Finance team in completing ad hoc projects as necessary and participate in daily finance discussions and monthly close meetings
  • Manage vendor and partner relationships to ensure reflection of Ocular Values


  • A Bachelor's degree (or comparable experience) in accounting or business is preferred
  • 5+ years of progressive A/P experience, preferably in the biotech industry
  • QAD knowledge a plus
  • Excellent communication skills, both oral and written
  • Must be a self-starter and take initiative
